8. Correcting Data: Housing Move-In Date

Not all missing Housing Move-In Dates (HMI Date) are errors, even if there is an alerter on a report showing a “null” or “missing” HMI Date. If there isn’t an HMI Date, this may simply indicate you are still working with the client to find housing. Please review all clients without an HMI Date to confirm they are not housed and/or your program didn’t house them. 

If you worked with a client and they exited without being housed by your program, keep Housing Move-In Date null/blank.

Please note, only permanent housing projects should respond to the Housing Move-In Date data element. Any project types that don't appear on the list below should leave the Housing Move-In Date answer blank.

Adding a Housing Move-In Date

Housing Move-In Date is completed on the Entry Assessment or Update and needs to be between Project Start Date and Project Exit Date.

  1. Enter EDA mode to the correct provider and go to the client’s record.
  2. If Project Start Date equals Housing Move-In Date
    1. In the Entry/Exit tab, click on the Edit pencil to the left of the Entry date to open the entry assessment (See A in image below). Click on Save & Continue in the first pop-up. (Note: You do not need to be in back date mode when correcting this error.)
  3. If Project Start Date does not equal Housing Move-In Date
    1. In the Entry/Exit tab click on the Interim Update icon (See B in image below). Either (1) click on the Edit pencil to the left of the Interim date and click on Save & Continue in the first pop-up or (2) click on Add Interim Review and follow prompts (Interim Review Type = Update). 
  4. Respond to the missing data element(s).
  5. Click on Save & Exit.

Fixing Housing Move-In Date Errors

If a Housing Move-In Date (HMI Date) has a value that is earlier than the client’s Project Start Date, this will cause an error. As defined above, the client’s HMI Date needs to be between Project Start Date and Project Exit Date. If you’ve entered an HMI Date that occurs before the Project Start Date, you must enter a HMI Date on or after Project Start Date for the client’s housing status to be reported on accurately.

To resolve this error, please follow these steps. First, you will need to add an HMI Date to the client’s Entry/Exit record. You can use the instructions in the above section, Adding a Housing Move-In Date to complete this step. Then, if you, or another user at your agency, entered an incorrect HMI Date, you will need to delete the incorrect value so as not to confuse reports.

  1. EDA to the provider that you created the data in. If you are deleting data,  you have to be in EDA mode to the provider that created the data. 
  2. Search for and enter the client record that needs data deleted.
  3. Although there is more than one way to complete this, let’s go to the Assessments tab and open the program’s Entry Assessment.
  4. Click on the history bar (may be red or green) to the left of the HMI Date data element, then click on the trash can next to the value you want to delete.
  5. After you've deleted the data, Exit the client record – do not Save after deleting the data.

Fixing Housing Move-In Date Errors - Emergency Shelter Providers

1. If the client enters your shelter and there is a HM Date because the client was in housing, this old date must be cleared out to indicate the client is no longer housed.                                  2. Client the blue arrow to clear out the date. Do not enter another date as long as the client remains homeless.
